Rettup POS Quick Start Guide

From installing to your first day of trading. Take a few minutes to read it and you will avoid most questions. Questions that are not answered here are covered on the Help and support page.

What you need

Rettup POS runs from one server PC that keeps the sales data. Any number of tills, tablets and phones connect to it over your Wi-Fi.

Installing on the server PC

Installing takes about a minute, and the server then starts by itself every time the PC starts.

  1. Download the installer from the link Rettup sent you and open it. Accept the Windows permission prompt ("Do you want to allow this app to make changes?") and the licence agreement.
  2. When asked how the PC will be used, choose Server and finish the installer.
  3. Open Rettup POS from the desktop. A setup page appears the first time.
  4. If a Windows firewall box appears, allow access on your private network. Tablets cannot connect without it.

The server runs as a Windows service called "Rettup POS Server", so it keeps running when the Rettup POS window is closed.

First-time setup

The setup page asks for the basics once. Everything can be changed later. The server PC has two management programs: Rettup POS Setup (tills, printers, kitchen screens, settings, backups) and Rettup POS Back Office (menu, staff, stock, reports, cash-up, end of day).

  1. Business: name, address, phone, tax number, currency and tax rate. These print on receipts.
  2. Owner: your name and a 4 to 6 digit PIN. Everyone needs their own PIN, and the PIN is how they sign in.
  3. Menu: add categories and items, or import a list from a spreadsheet saved as CSV (Back Office, Menu).
  4. Staff: add each person under Employees and choose their role (cashier, manager or admin). Give each a different PIN.
  5. Tables: if you serve at tables, draw the floor under System, Floor plan.
  6. Receipts: under System, Settings, choose the receipt printer and press the print test button.

Setup opens only on the server PC. Back Office opens on the server PC, and on other PCs, tablets or phones too if the owner switches that on (see below). Tablets and phones otherwise show the sales screen only.

Adding tablets, phones and extra tills

  1. On the server PC open Rettup POS Setup and go to Venue, Terminals. Press the button to make a pairing code (valid for 10 minutes, works once).
  2. On the tablet or phone, open the Rettup POS app, or open the server's address (shown on the Terminals page, for example http://192.168.0.34:3000) in Chrome.
  3. Enter the pairing code and give the device a name such as Bar or Patio.
  4. Staff then sign in with their own PIN.

Android app: install it once from http://<server address>/rettup-pos.apk. When Rettup releases a new version, get it under Terminals, Android app, and each tablet offers an Update button. In Chrome you can also choose Add to Home screen to get a full-screen icon.

Extra Windows till: run the same installer and choose Terminal, then enter the server's address and pairing code.

If the Wi-Fi drops, anyone who signed in on that tablet in the last 7 days can still sign in and ring up sales. The sales are saved on the tablet and sent to the server when the connection returns. Tables that were already open on the server cannot be reopened offline.

Kitchen and bar screens

A kitchen screen shows the orders for one station (kitchen, bar) on a tablet, PC or TV, and the cook taps Done when it is ready. Nobody has to sign in on it.

  1. In Rettup POS Setup open Venue, Kitchen and bar, add the station and tick Screen.
  2. Under Kitchen screens choose the station and press Add a screen. A 6 digit code appears.
  3. On the screen device open the server's address followed by /kds (for example http://192.168.0.34:3000/kds) and type the code. A spare Windows PC can also be installed as a Kitchen screen in the installer.

The screen stays connected and does not sign out. To stop a screen, press Remove next to it in Setup.

Back Office on other devices

By default Back Office opens only on the server PC. If the owner or managers want to check takings or do the cash-up from another PC, tablet or phone on the same Wi-Fi, they can.

  1. On the server PC open Rettup POS Setup, go to System, Settings and tick Back Office from other devices. Save.
  2. Under Staff in Back Office, give each owner or manager a Back Office password (at least 8 characters). Passwords are chosen on the server PC.
  3. On the other device open the server's address followed by /office (for example http://192.168.0.34:3000/office) and sign in with your name and password.

You are signed out after 15 minutes of no use. Printers, tills, kitchen screens, the mail server, backups and the licence can only be changed on the server PC, in Setup. Leave the switch off if you only work on the server PC.

Every day

  1. Sign in with your PIN (on a PC you can type it on the keyboard). If clocking in is switched on, press Clock in.
  2. Take orders: open a table or press Quick sale, tap items, then pay by cash, card or another method. Print or reprint the receipt if needed.
  3. Hand over: each waiter can see their own sales, tips and cash-up under the Waiters page of Back Office.
  4. End of day: when trading is finished, open Rettup POS Back Office, go to End of day and follow the steps (count stock, count cash, close the day).

The business day only rolls over when you close it with End of day. A bar or restaurant that trades past midnight keeps all of those sales on the same day, so do not skip End of day.

Backups and restore

The server makes a backup of all your data by itself every day and keeps the most recent ones on the server PC. That is not enough: if the PC is stolen or the disk fails, those backups go with it.

  1. Open Rettup POS Setup, System, Backup.
  2. Choose a second folder for copies: a USB drive, a network share or a cloud-synced folder. A second one is even better.
  3. Press Back up now once and check that the file appears in that folder.
  4. The Home screen warns you if no copy has left the PC for two days.

To restore: under System, Backup, press Restore beside a saved backup, or choose a backup file from a USB drive. The program saves a copy of the current data first, keeps this PC's own licence and email settings, signs everyone out and restarts. Phones or tablets added after that backup was made must be paired again.

Licence and updates

A new installation works free for 30 days. To keep using it, enter the licence ID Rettup gave you under System, Settings (the Licence box). The Home screen shows a notice with an Open button until you do.

Updating: under System, Updates and support, press Check now. If a new version is available, press Install. The server is unavailable for about a minute and a backup is made first. Tablets and phones pick up the new screens by themselves. Keep a laptop server plugged in while it updates. Update only when nobody is in the middle of an order.
